Master Key System Design

A property manager taking over a small commercial building inherits a shoebox of keys with no labels and no chart. Some open the mechanical room, some open vacant units, and a few do not seem to match anything currently on the property at all.

In plain words

Many commercial properties end up with keys copied from other keys over years of staff changes, until nobody can say with confidence what a given key actually opens. Master key system design starts from the opposite direction: an approved list of roles and openings comes first, and the keying follows it. Doors that genuinely need to share access are grouped under a sub-master; doors that do not stay on their own key. Once the hierarchy is agreed, the cylinders are pinned to match it, tested lock by lock, and handed over with a plain record so the business always knows which key belongs where.

The call
A dental office wants the front desk to lock up at night without ever holding a key to the room where patient records and controlled supplies are stored. Right now one master key opens both, which nobody is comfortable with once it is pointed out.

How the visit goes

  1. Scene 1

Duplication and how tightly it needs to be controlled

Some businesses are comfortable with standard key blanks that any hardware counter can cut; others, especially where records, cash or controlled supplies sit behind a door, want a restricted or patented keyway that limits duplication to a record the owner controls. This is decided door by door rather than for the whole property at once, since a stockroom and a records room rarely carry the same risk. The answer shapes both the hardware chosen and how future copies of any given key will be requested and tracked going forward.

  2. Scene 2

Fitting or replacing hardware to match the plan

Cylinders that can join the new hierarchy without modification are pinned in place; those that cannot, whether because of age, a mismatched keyway or simple wear, are replaced with compatible hardware chosen to match the finish and function already on the door. Locksets on a barrier-free path of travel are fitted with lever or paddle-style hardware that can be operated with a closed fist, keeping those doors usable for everyone while still carrying their assigned level in the same hierarchy as the rest of the building.

  3. Scene 3

Room already built in for what comes next

Because spare capacity was planned into the keying platform from the start, a realistic new door, tenant or hire usually fits into the existing chart without disturbing levels that are already in use. This is the practical payoff of building the system with growth in mind rather than filling every available combination on the first day: expansion becomes an addition to the record, not a reopening of it.

What shapes the quoteJarvis Lock & Key Specialists

Electronic locks alongside mechanical keys
Where keypad or card doors need to line up with the mechanical hierarchy, the quote includes the extra coordination of matching access levels across both systems and pinning any mechanical override cylinders into the same chart as the rest of the property.
Compatibility of existing hardware
Cylinders that can join the new hierarchy without modification keep the project smaller. Hardware that is mismatched, worn or built on an incompatible keyway needs replacing to fit cleanly into the plan, and that replacement hardware is a separate line from the design and pinning work.
Administrator training and handover time
Walking the named administrator through the chart, the issuance process and how to handle a future lost key or new hire takes a defined amount of time on the day of handover, and a more detailed walkthrough for a larger, multi-level system takes longer than a simple one.

Asked and answered

Can different lock brands be mixed in one master key system?

Sometimes, but it depends on the keyway and pinning platform each brand uses; some are compatible with one another and some are not. Where a mix already exists on a property, the assessment identifies which cylinders can be brought into a single hierarchy and which need replacing with a matching platform so every level pins correctly across the whole set of doors.

How is the key chart kept private?

The chart is handed to a named administrator rather than left as loose paperwork, and it is stored somewhere only that person can reach, separate from day-to-day office records. It is not published, circulated widely or kept alongside general building documents. When the administrator role changes hands, custody of the chart moves with a signed acknowledgement rather than being passed along informally.

What is a restricted keyway and do I need one?

A restricted or patented keyway limits who can cut a copy of your keys to whoever holds the manufacturer's authorization record, rather than any hardware counter. It suits doors behind which cash, records or controlled supplies sit. A standard keyway is simpler to administer and works well for lower-risk doors where duplication control matters less.

2021 census: what it means at the door

Every square is one home in a hundred.

  • 57 in 100 homes · older homes
  • About 57% of homes in Haldimand County were built in 1980 or earlier, according to the 2021 Census.Established homes often have non-standard bores and backsets from an earlier generation of hardware. A locksmith working in such an area carries adapter plates and cylinders in the older sizes, so an upgrade fits the existing door instead of forcing a new one.
  • Single-detached houses make up about 84% of homes in Haldimand County (2021 Census).Detached houses collect hardware from every renovation. A locksmith visiting one often finds three keyways, two finishes and one door that never latched right. Sorting all of that into a consistent, working set is a satisfying afternoon's work.
